VeloSano 8 (2021) | How to Participate

Will VeloSano 8 "Bike to cure" weekend be virtual or in-person in 2021?

VeloSano 8 “Bike to cure” weekend will take place September 10-12! Given the need for extra public health safety requirements, the weekend will look a little different this year with limited capacity, services and events for participants, yet still packed with the inspiration and the first class support you expect from VeloSano and our community.

There are 4 route options and the start / finish line venue may change to allow for precautionary measures. Venue details will be announced at a later date.

We also have great ways for people to get involved virtually by setting their own activity goals as a Virtual Fundraiser.

Due to the current circumstances, we will not be able to physically bring thousands of people from our community together for an in-person Friday Night Kickoff Party. We are planning a virtual celebration on September 10 that will entertain, inform, motivate and support our mission.

Cleveland Clinic will continue to monitor the situation and state guidelines; and, should circumstances warrant a change, “Bike to cure” weekend will revert to all-virtual as it was in 2020.

How can I participate in VeloSano this year?

There are a number of ways you can participate in VeloSano 8 (2021). Choose an option that is most comfortable to you, register, and raise critical funds for cancer research!

Register to ride. Routes range from 10 to 100-Miles. The 2021 routes and start/finish line venue location are TBD and will be announced soon.

  • If you are more comfortable riding on your own, you should still choose the Rider options to receive an event jersey and more.
  • The Two-Day, 200-Mile ride will be back next year when we can accommodate overnight accommodations safely.


Register as a Virtual Fundraiser. You can choose your own activity (walk, run, swim yoga, kayak, etc.) to participate and can do it anytime, anywhere! So if you are not planning to ride, register as a Virtual Fundraiser.

Volunteer for “Bike to cure” weekend. VeloSano 8 (2021) Volunteer registration will open in the spring. An army of Volunteers are needed before, during, and after “Bike to cure” weekend. Click here to be notified when registration opens and specific activities come available!

Will Riders have to wear masks "Bike to cure" weekend

At this time, Riders will be required to wear masks up to and while at their start line, at rest stops and at the finishing line. Masks will also be required if they are receiving medical or mechanical support on the road.

Will breakfast and lunch be provided at the start & finish lines?

While we won’t be able to offer sit-down meals in 2021 due to the pandemic, all meals, snacks and beverages will be prepackaged, grab-and-go varieties.

Protecting Riders and Volunteers means limiting the amount of time spent congregating in large numbers so we ask Riders not to stay at the finish line longer than necessary. Showers and massages will not be available in 2021.

Is there an age requirement to participate in VeloSano 8?

The minimum age by September 11, 2021 to ride is: 8 for the 10-Mile Fun Ride; 12 or older for the 25 & 50-Mile Rides and 16 or older for the 100-Mile Ride. Minors will need permission from a parent or guardian.

How much is the registration fee for Riders?

The registration fee for VeloSano 8 (2021) for each Rider is:
• $60 for the 10-Mile Fun Ride
• $125 for the 25, 50, 100-Mile Rides

VeloSano is a fundraiser. What are the fundraising commitments to participate in VeloSano 8?

There is an individual commitment for each Rider and Virtual Fundraiser and you have until October 1, 2021 to meet it. Even if you ride on a team, you are responsible for your individual fundraising commitment. The individual fundraising commitments are as follows:

• 10-Mile Fun Ride – commit to raise $500 for Cancer Research
• 25-Mile Ride – commit to raise $1,000 for Cancer Research
• 50-Mile Ride – commit to raise $1,000 for Cancer Research
• 100-Mile Ride – commit to raise $1,500 for Cancer Research
• Virtual Fundraiser – commit to raise $100 for Cancer Research

Is a youth/young adult/military fundraising discount offered?

Yes for Riders. Youth/Young Adults (ages 8-24 years old on September 11), and current & former military receive a 50% reduction in their fundraising commitment.

• 10-Mile Fun Ride – commit to raise $250 for Cancer Research
• 25-Mile Ride – commit to raise $500 for Cancer Research
• 50-Mile Ride – commit to raise $500 for Cancer Research
• 100-Mile Ride – commit to raise $750 for Cancer Research

We encourage you to try to fundraise more than your discounted fundraising commitment as every dollar raised supports lifesaving cancer research.

What is the fundraising deadline?

Riders and Virtual Fundraisers have until Friday, October 1, 2021, to raise funds for VeloSano 8 (2021).

Your credit card on file will ONLY be charged if you do not meet your minimum commitment by October 1, 2021 to cover any remaining balance of your commitment. If you meet your fundraising commitment before the deadline, your card will NOT be charged.

If you close your credit card account or your card on file expires, please contact VeloSano with your new card information at velosano@ccf.org or leave us a message at 216.444.6150.

Can I change the route I registered for OR change from being a Virtual Fundraiser to a Rider?

For safety measures, we may have to limit the number of Riders who participate in each distance. If the route you would like to ride is still available, yes, you may change your route. Email velosano@ccf.org to request a route change and we will do our best to accommodate your change.

Please note that if you change routes, your registration fee and fundraising commitment may also change. For instance, if you switch to a longer route with a higher fundraising commitment than the one you originally registered for, your fundraising commitment will increase to that of your new route.

When changing from Virtual Fundraiser to a Rider, you will need to pay a registration fee and commit to raise the dollar amount associated with the distance you choose to ride.

Can I cancel my participation in VeloSano and remove a minimum fundraising commitment?

Any Rider or Virtual Fundraiser must withdrawal their registration and notify us by Friday, August 13 in writing by sending an email to velosano@ccf.org to be released from their minimum fundraising commitment. All donations collected up to the point of will be allocated to cancer research at Cleveland Clinic and are non-transferable.

Remember you have until the October 1 fundraising deadline to reach your fundraising commitment.

Registration fees are non-refundable and non-transferable.

What Volunteer activities are available this year?

We are in the process of finalizing the details for what volunteer activities will be available this year. An army of Volunteers are needed before, during, and after “Bike to cure” weekend. Donation & Fundraising

How can I donate to a VeloSano Rider/Virtual Fundraiser/Team/General Fund?

Donations in support of VeloSano may be made by credit card or by check.

• To search for the Participant you'd like to support online, or to give to the VeloSano General Fund click here.

• To support a Participant, Team or to give to the VeloSano General Fund via check, make your check payable to VeloSano and mail the check to VeloSano, PO Box 933441, Cleveland, OH 44193. Please include the participant or team name on the memo line of the check.

• Participants who receive checks directly from donors should mail them into VeloSano using the Donation Deposit Form to the address listed on this form.

• If a donor makes out a check to a Participant, the Participant should endorse and sign it over to VeloSano on the back of the check. Please be sure to include the Participant’s name on the memo line of the check. Checks should be mailed to VeloSano using the Donation Deposit Form to the address listed on this form.
• To donate to VeloSano and/or a Participant through a Donor Advised Fund or charitable giving account, search for the Cleveland Clinic Foundation or VeloSano by tax ID 34-0714585. In the “notes” section, enter “Please make check payable to VeloSano and send to PO Box 933441, Cleveland, OH 44193. Memo on Check /Purpose: Support VeloSano and Participants Name.

Is VeloSano/Cleveland Clinic a 501(c) (3) nonprofit institution?

Yes. Cleveland Clinic Foundation (“CCF”) is a tax exempt nonprofit corporation. VeloSano is a CCF trademark and charitable event sponsored by CCF to bring funding to support cancer research at CCF. As such, VeloSano is not a separate legal entity or association, but is one of CCF’s charitable activities. Our tax ID number is 34-0714585.

Please contact VeloSano for further information or to receive a copy of our Letter of Determination.

I need a tax receipt for my donation. How can I get one?

All donations made online will be acknowledged with an emailed tax receipt. Donations made by check will receive a tax acknowledgment by mail.

If you are unable to locate the acknowledgement or to request a receipt for a prior year donation, please email velosano@ccf.org

How should I deposit fundraising checks from my donors to my VeloSano fundraising?

You will need to mail-in these donations to VeloSano so we can credit these gifts to your Personal Fundraising Page and be reflected in your total dollars raised.

Complete and print the Donation Deposit Form to list your check donations. This form must be included when submitting your check donations to ensure proper credit.

What should I do if a Donor gives me a check made payable to myself?

If the Donor of the check accidentally wrote the check out to your name, please write “Pay to the order of VeloSano” in the endorsement area on the back of the check along with your signature. Write your name on the memo line and send the check to:

What should I do if a donor gives me cash?

We encourage you, if possible, to make arrangements to bring cash donations to our office. Please contact us velosano@ccf.org to make arrangements.

Donor acknowledgments and tax receipts for cash donations will only be sent if the donor’s name and address is provided.

Does VeloSano have a mobile app?

Coming soon – our app that integrates activity tracking and fundraising in one! You will be able to fundraise on the go by sending emails, monitoring your fundraising progress, and updating your Personal Fundraising Page as well as having the ability to sync to your health tracker to see your stats and set physical goals.

How do I host a Facebook Fundraiser?

We recommend linking Facebook directly to your VeloSano Personal Fundraising page vs. hosting a Facebook fundraiser. Setting up your Facebook Fundraiser this way, enables donations to be credited directly to your VeloSano Personal Fundraising Page and ensures that you receive your donation immediately.

What is a VeloSano Big Wheeler?

Big Wheelers are fundraisers who commit to exceed their fundraising commitments and receive special recognition from VeloSano for their commitment and fundraising efforts! The 2021 Big Wheeler levels are $8,000 (Gold), $4,000 (Silver) and $2,000 (Bronze).

Matching Gifts

Does my employer participate in a matching gifts program?

Use the search tool on our Employer Matching Gifts Page to find out if your employer participates in a matching gift program. Simply type in the name of your employer and click the employer name to find out more information on the matching gift program. If you do not see your company or have further questions about matching ask your HR rep for confirmation

How long will it take for a matching gift to be processed?

The matching gift submission, verification and disbursement process can take an extended period of time and varies by company. Some companies will approve and pay out a matching gift request quickly after the submission date, and others may take up to a year. It is important for you to familiarize yourself with your company’s matching gift policy and procedures so that you understand when VeloSano is likely to receive the funds, as this can affect the fundraising commitment of the participant you are supporting. We encourage you to apply for your matching gift as soon as possible to ensure your funds have the best chance of arriving before the October 1, 2021 fundraising deadline.

NOTE: If your company does not match gifts until after the October 1, 2021 fundraising deadline, notify us at velosano@ccf.org. It’s possible that these funds will not be received prior to the distribution of VeloSano dollars to advance cancer research at Cleveland Clinic and therefore cannot be credited until VeloSano 9 in 2022.

When does my matching gift need to be received by VeloSano in order to count toward a participant’s fundraising commitment?

Your matching gift funds must be received by VeloSano by Friday, October 1, 2021, in order to count toward a participant’s fundraising commitment.
 

Managing my VeloSano Personal Fundraising Page

TEAMS

What is a team?

There are many reasons Riders come together as a team to ride and fundraise – in honor or in memory of someone or perhaps to bring colleagues together for camaraderie, health and in support of a mission. Teams can be made up of family members, friends and/or colleagues.

How do I join and fundraise with a team?

Each team member must register individually and is responsible for their own fundraising commitment for their chosen route. The team captain creates the team and once this is completed you can register to “join” the team.

How many Captains can lead a team?

Whoever creates a team, becomes the Team Captain as an integral part of the registration process. Once the team is set up, the Team Captain lets team members know to select the team when they register to "Join a Team".

A Team Captain can designate up to four (4) Co-Captains and be listed on the Team Roster. To make someone a Co-Captain, contact velosano@ccf.org. Once established, Co-Captains will be identified on the team roster with a Team Captain badge.

Only the Team Captain has access to the Team Fundraising Dashboard with team tools to communicate with their team mates and monitor team progress.

While Co-Captains do not have the ability to access the Team Fundraising Dashboard and tools, they will be invaluable to support your recruiting, team fundraising and training activities.

Can we accept team donations?

Yes. Team donations are accepted and will appear as “Team Funds” on the Team Roster. Team Funds are separate funds than those raised by individual Riders and Virtual Fundraisers. Although Team Funds are reflected in the total dollars raised by the Team, fundraising minimums are per individual Rider and Virtual Fundraiser and each is responsible for their personal fundraising commitment.

Many Team Captains use Team Funds as a strategy to match their teammates’ fundraising efforts or to fill-in gaps necessary to help meet any outstanding fundraising commitments before the October 1 deadline.

It is the responsibility of the Team Captain(s) to determine the distribution of Team Funds among team members. If as Team Captain you decide to distribute Team Funds to individuals, simply complete this Team Funds Distribution Form instructing to which team member(s) to distribute the funds, scan/save and email it to us no later than October 1, 2021.

Can Team Funds be transferred to individual team members?

However, Team Captains can use Team Funds as a strategy to match their teammates’ fundraising efforts or to fill-in gaps necessary to help meet any outstanding fundraising commitments before the October 1 deadline. Reach out to your team captain to confirm their strategy with team funds.

Team Captains:
Use the Team Fund Distribution Form to distribute Team Funds to team members. Please list the names and the dollar amount you would like each participant to receive and email it to velosano@ccf.org.
